Florida Cooperative of Theological Schools Overview

Formed in 2025, the Florida Cooperative of Theological Schools (FCTS) aims to strengthen theological education and ministry formation in South Florida by resourcing schools and programs accredited by the Association of Theological Schools (ATS) and related entities. We envision a sustainable cooperative ecosystem that empowers partner institutions to prepare the region’s future ministry leaders through shared staffing, innovative Clinical Pastoral Education, ecclesial-educational partnerships, and faculty networking. FCTS was launched with initial funding from a Lilly Endowment Pathways for Tomorrow Initiative grant and currently has a diverse group of regional cooperating partners: Amoris Christi, Barry University’s Department of Theology and Philosophy, Knox Theological Seminary (KTS), Palm Beach Atlantic University Graduate School of Ministry (PBA), Southeast Pastoral Institute (SEPI), and St. Vincent de Paul Regional Seminary (SVDP). 

FCTS operates across four strategic priorities. First, we are working to implement a shared staffing model to bolster recruitment, fundraising, marketing, and strategic planning across the entire regional ecosystem. Second, we are launching innovative clinical pastoral education through the Boisen Agency for Pastoral Formation, utilizing a unique rotational model across healthcare, congregational, and community settings. Third, our ecclesial-educational partnerships (The "Houses" Initiative) will establish tradition-specific mentorship and certificates led by academically qualified directors. Finally, we aim to foster faculty networking by hosting one-day campus "Symposium" events each fall and spring, alongside multi-day summer "Imaginarium" retreats to give faculty a dedicated space to connect, rest, and innovate.

Purpose and Scope of the Position

The Administrative Coordinator provides essential administrative, organizational and operational support to the Florida Cooperative of Theological Schools as it develops and expands its programs, partnerships and organizational infrastructure.

Working closely with the Cooperative Director and Executive Director, the Administrative Coordinator will help ensure that the day-to-day operations of FCTS are organized, efficient, timely and responsive. The position will coordinate meetings, maintain organizational records, support Board and committee activities, assist with financial and administrative processes and provide logistical support for FCTS programs and initiatives.

Because FCTS is a growing nonprofit organization, this position requires someone who is comfortable working in an evolving environment and who can develop practical systems and processes as organizational needs emerge. The Administrative Coordinator will interact regularly with FCTS leadership, Board members, partner institutions, faculty, clergy, program participants, vendors and other constituents.

The ideal candidate will be highly organized, dependable, resourceful and able to manage multiple priorities while maintaining attention to detail. The successful candidate will bring a collaborative spirit and a willingness to take initiative, anticipate needs, solve problems and contribute to the overall effectiveness of FCTS. The Administrative Coordinator reports to the Cooperative Director.

Overview - Full Time or Part Time

Administrative and Organizational Support

  • Provide day-to-day administrative support to the Cooperative Director and Executive Director

  • Maintain organized electronic and physical files, records, documents and organizational information

  • Coordinate calendars, appointments, meetings and scheduling for FCTS leadership

  • Prepare correspondence, documents, presentations, agendas, reports and other materials as needed

  • Track organizational deadlines, action items and follow-up activities

  • Develop and maintain administrative systems that promote efficiency, accountability and continuity

  • Serve as a central point of coordination for routine administrative matters involving FCTS staff, Board members, partner institutions and external constituents

Financial and Administrative Coordination

  • Assist the Cooperative Director with routine administrative financial processes

  • Coordinate the collection and organization of invoices, receipts, expense documentation and other financial records

  • Assist with tracking organizational expenses, budgets and recurring payments

  • Support the preparation and organization of financial reports and documentation

  • Coordinate with accounting and financial service providers as directed

  • Assist with grant-related administrative documentation and reporting

  • Maintain organized records for contracts, vendor agreements, insurance, licenses and other organizational documents

  • Support compliance with organizational policies and administrative requirements

Communications and External Relations

  • Serve as a professional and welcoming point of contact for FCTS through email, telephone and other communications

  • Assist with maintaining contact lists, mailing lists and constituent information

  • Support the Director of Advancement and other staff with administrative aspects of donor communications and events as needed

  • Assist with preparation and distribution of newsletters, meeting notices, event communications and other organizational materials

  • Maintain accurate organizational contact information for partner institutions and key constituents

Technology, Data and Organizational Systems 

  • Maintain organized digital files and shared organizational resources

  • Support the effective use of Microsoft Office, Google Workspace and other organizational technology platforms

  • Maintain databases, spreadsheets, calendars, contact lists and other administrative systems

  • Assist with implementation and maintenance of organizational software and technology systems

  • Identify opportunities to improve administrative processes through technology and automation

  • Ensure that organizational information is maintained accurately, securely and consistently


Specific Responsibilities

Internal Management and Infrastructure

  • Help establish and maintain effective administrative procedures appropriate for a growing nonprofit organization

  • Develop templates, checklists, calendars and systems to support consistent organizational practices

  • Maintain documentation of recurring administrative processes

  • Assist in creating systems that allow FCTS to operate efficiently across multiple partner institutions and locations

  • Support collaboration among FCTS staff and program leaders

  • Contribute to a culture of responsiveness, professionalism, accountability and teamwork

Qualifications:

  • Bachelor’s degree 

  • Minimum of 4 years of administrative, office coordination, nonprofit, higher education or related experience

  • Location: remote position, but the candidate must live in Southeast Florida. Minimally, monthly in-person meetings near West Palm Beach; availability for occasional FCTS meetings, programs & events; possible areas of travel between Palm Beach County and Miami 

  • Demonstrated ability to coordinate multiple projects, meetings, deadlines and competing priorities

  • Excellent organizational and time-management skills

  • Strong proficiency with Microsoft Office and/or Google Workspace

  • Experience with databases, spreadsheets, calendars and digital file management

  • Excellent written and verbal communication skills

  • Ability to prepare professional correspondence, reports, agendas, presentations and other organizational documents

  • Demonstrated ability to work independently and exercise good judgment

  • Experience supporting senior leadership and/or a Board of Directors preferred

  • Experience with nonprofit organizations, higher education, theological education or faith-based organizations preferred

  • Valid driver’s license

  • Occasional evening and weekend work required


Salary and Benefits:

  • Salary $45,000 to $50,000 for full time

  • Benefits package available
